Introduction

Humble Hearts Caregivers, a licensed home healthcare provider based in Florida, sought a modern, secure, and fully customized EMR solution to replace their legacy system, Alora. They needed a platform that could adapt to their workflows, improve caregiver engagement, and ensure full compliance with both HIPAA and AHCA regulations.

DesignDiverso stepped in to co-design and deliver Horizon — a robust EMR system built on the Odoo 18 Community framework, hosted on an encrypted on-premise server and tailored from the ground up with the end users in mind.

 

 

Our challenge

The legacy Alora platform was not only expensive and rigid but also lacked the flexibility and usability required by Humble Hearts’ caregivers and coordinators. Key pain points included:

  • Complex UI that hindered adoption by caregivers in the field

  • Lack of real-time GPS tracking and check-in/out

  • Inflexible payroll handling with no support for dynamic hourly rates

  • Limited control over compliance, reporting, and data portability

  • Cloud-based storage that raised HIPAA security concerns

The challenge was to design an intuitive, mobile-first EMR that would streamline operations, secure sensitive health data, and be loved by caregivers — all while migrating hundreds of patient records and plan-of-care data from Alora into a better, faster, and more ethical tech stack.

 

 

 

The process

DesignDiverso followed a collaborative design thinking process involving caregivers, coordinators, and executive staff at every phase:

Discovery & UX Research

Conducted interviews and shadowing sessions with caregivers

Identified workflow bottlenecks and field usability challenges

Reviewed AHCA compliance requirements and HIPAA best practices

System Architecture & Data Security

Built on Odoo 18 Community with modular customizations

Deployed on encrypted on-premise servers (LUKS) for HIPAA compliance

Implemented full role-based access controls, audit logs, and 2FA

Encrypted Data Storage: All PHI is stored on a LUKS-encrypted volume on a physically secured, on-premise Linux server (no third-party cloud).

Access Controls (RBAC): Every user role (caregiver, coordinator, admin, billing) has clearly defined access privileges, ensuring minimum necessary access.

Two-Factor Authentication (2FA): Enforced for all administrative accounts and optional for staff, reducing risks from password compromise.

Automatic Session Timeout: Users are automatically logged out after 10 minutes of inactivity, preventing unauthorized access on unattended devices.

Audit Logging: All data access and modifications (including viewing of patient records) are timestamped and logged by user ID for compliance audits.

Secure Remote Access: Only permitted via encrypted HTTPS with strict session controls; external IPs can be geo-filtered if necessary.

Device-Agnostic Mobile Security: No patient data is ever stored on the client device; data is served dynamically and cleared on logout/session expiration.

User Training & Behavior Enforcement: Coordinators and caregivers were trained to avoid PHI being stored or copied outside of the Horizon platform.
